Dear June,
I have received a complaint letter from a participant of our exhibition Sound Systems 2011. He listed out three problems of the exhibition.
First, he pointed out that there was a difficulty in registering to attend the event due to the unworkable facility. Second, he said the venue was too small which led to serious overcrowding. Last, he also complaint that the leaflet were unable to take away.
Based on these problems, can you give me some advice about how to handle the problems.

Subject: Requesting approval for implementing my suggestions
Dear Ms Kong,
I am writing to talk about the problems during the exhibition Sound System 2011 at the Fortune Hotel (23-25 February) and make some suggestions to the problems.
1.Difficulty in registering to attend the event
There is a difficulty in registering the event through the on-line registration facility. It is because there are too many people registering in the same time, it causes the server to be overloaded. To solve the problem, I suggest that we upgrade the server in order to have greater capacity.
2. Small venue
The venue we booked for the exhibition was not large enough. It is because the number of participants is out of the expectation. And lots of people came at the same time which led to overcrowded. The large venue was fully booked so we could not book a large venue. I suggest booking the venue earlier and estimating the number of the participants before the exhibition.
3. Shortage of leaflets
There were not enough leaflet for the visitors. It is because we had concerned the environmental reasons, we only had limited copies. And some people took too many of the leaflets. I suggest putting the leaflet information on-line and recruiting part-time staff to distribute the leaflets.
These are my suggestion to the problems of the exhibition. I hope that you can approve for implementing my suggestions.

Thank you for bringing this matter to our attention. We sincerely apologise for those inconvinences and I have investigated those situations.
First, the on-line registration matter was caused by too many people registering at the same time, It caused that the server was overloaded.Based on this situation, we are going to upgrade the server capacity to avoid this happening again.
Second, the small venue was caused by the large venues were fully booked. Therefore, we can book this medium-size venue. To avoid this, we will book the venue earlier next time and do the estimation of the number of the participant before the exhibition to make sure that we can book a more suitable venue for the event.
Third, the limited number of leaflets is decided base on the environmental reasons. At the same time, we found that some participant took too many leaflets, To improve, we will put the leaflet information on-line and recruit part-time staff to distribute the leaflets.
